Declining a Leave Request - Payroll Portal

This article shows you how to decline requested leave with the click of a button.

Declining an employee’s leave request means that the employee needs to submit a new leave request for approval if adjustments are needed. The declined request remains visible for your records.

Any Admin User
Another Employee


If you wish to decline an employee’s leave request after reviewing it, here’s how:

In the Review Leave Request page, navigate to the approval buttons at the bottom of the screen:

  1. You can use the ‘Review Notes’ area to enter notes on how to correct the leave request or reasons for the decline you want the employee to see. This will show up with the status update in the Employee’s Payroll Portal. 
  2. Click on the ‘Decline’ button to reject this request. The employee has to submit a new request if desired.
  3. A pop-up message will ask you to confirm you want to decline the request.
    1. Click ‘Decline’ to decline the leave request.
    2. Click ‘Cancel’ to return to this leave request. You did not decline or withdraw this request. It is still there in the submitted state as before. You can select to approve or decline the request as usual.
  4. In the Review Leave Requests page, this leave request’s status will show as ‘Declined’. The employee will also see the status change in their Portal, along with Review Notes you entered.
