Managing Multiple Accounts in the Payroll Portal

If you are linked to multiple payroll accounts, you can use the Payroll Portal to perform tasks in these accounts. This article shows you how.

Managing multiple accounts is easily done through the Portal Account Selector, even with different levels of access in each account. Simply click on the selector icon to switch between accounts you are connected to. Your current changes will be saved before switching you over to the selected account.

Account Selector*It is handy to note that the name of the account you are currently working in, is displayed next to the account selector button.

Please note: You cannot add yourself to different accounts from this account selector, even if you have access to the account in Thankyou Payroll.

An admin user must invite you to the Portal. Only then will that account be added to your account selector, giving you the access level granted for that account.


What if I'm set up with different access levels in these accounts?

A user can have three different access levels: Employee, Team Leader and Admin. Follow this link to find out more about each level's access.

Info - Blue Block (1) Portal Access Level is account specific. This means the Payroll Portal will only show user functions available with their access for a specific account.

Let's look at an example:

  • Kumar has access to three payroll accounts in the Portal:
    • Help Out Accounting = Kumar is an employee and team leader. He uses timesheets and leave requests and can approve his team's time.
    • Much Obliged Construction = Kumar is an admin user on this account and manages the payroll for his client.
    • Gratitude Hospitality Demo = Kumar is an admin user on this account and manages the payroll for his client.

As Kumar has employee and team lead access to Help Out Accounting, he will only be able to see the employee and My Team menus when navigating to, and using this account.

As Kumar is set up as an Admin on Much Obliged and Gratitude Hospitality, he will be able to perform all admin functions and navigate to Thankyou Payroll for these accounts only. When he navigates back to Help Out Accounting in the Portal, he will only see (and be able to perform) employee and team leader functions.

He will not be able to see or access Help Out Accounting in Thankyou Payroll.


How does account navigation work between the Portal and Thankyou Payroll?

We've made things super easy for you! The accounts sync up so you will always land in the account you are in, from the Portal to Thankyou Payroll and vice versa.

Let's look at an example:

Kumar has access to three accounts in the Payroll Portal:

    • Admin access to Much Obliged Contruction
    • Admin access to Gratitude Hospitality
    • Team leader and employee access to Help Out Accounting

After approving timesheets in the Portal for Much Obliged Contruction, Kumar clicks the 'Go to Thankyou Payroll' button in the side menu and lands on Much Obliged Construction's Pay Dashboard in Thankyou Payroll, ready to set up the pay and import the timesheets. He Finalises the pay when all is ready. 
One client's payroll done. ✅

Now, he uses the 'Manage Account' button in Thankyou Payroll to access his second client: Gratitude Hospitality (Help Out Accounting does not appear in his manage accounts list in Thankyou Payroll).

With Gratitude Hospitality's Pay Dashboard open in Thankyou Payroll, Kumar clicks either the 'Payroll Portal' or 'View Submissions' buttons and "poef" - he lands in the Gratitude Hospitality Payroll Portal. Now he can perform tasks there easily.
