Can I Add a Pay Type to Pay Automation?

The short answer is 'No'. Pay Automation only creates a pay run with the 'Standard Pay' rows of employees. These 'Standard Pay' rows come from the Employees' Default Entries setting in their Employee Profiles.

This means that any other regular timesheet rows will not be created in a Pay Automation pay run.

Regular deductions done automatically by our system, such as Tax, Child Support, Student Loan, KiwiSaver and Payroll Giving are included in the Pay Automation pay run as they are not separate lines in a timesheet.

What if I have employees with other regular timesheet rows?

If the majority of your employees have multiple regular timesheet rows, use the 'Copy Last' function to create a pay.

  • This will copy the last processed pay exactly, applied to the next pay cycle.
  • You can edit individual timesheets after they have been created through the 'copy last' function to remove unwanted entries, such as leave.

CopyLast Option Not Automation

  1. Create a new pay and select the pay day and pay period start date for the new pay on your dashboard.
  2. Press 'Copy Last' in the Quick Loads menu. This will copy the last processed pay exactly into this pay run. 
  3. The system will toggle on and include all employees from that pay run.
    1. You can update and edit timesheets by clicking on the employee's name.
      1. toggle off employees to exclude them from this pay
      2. delete unwanted timesheet rows (such as leave)
      3. add pay types not included in the last pay run
  4. Any employees excluded from the last pay run will remain toggled off. You can toggle them on to create their timesheet manually. 
  5. The 'You Deposit' green box shows the current funds needed to fund this pay. It will update with any changes saved to timesheets.

Remember to check timesheets created through Copy Last for unique entries such as leave, allowances and one-off payments/deductions as they will be copied into this pay.

If the majority of your employees only use their 'Standard Pay' timesheet row, set up pay automation and edit the timesheets that need rows added after it has been created through pay automation.

Remember, this is all about what works best for you. Both methods work fine in the system. Choose what will save you the most time for your payroll needs.
